Sharing and permissions

Boards are shared by membership, single items can go to a single person, and connections let you share with someone outside your workspace.

Three ways to share, for three different situations.

Board sharing

A board is shared with people, with a role each:

  • Owner has everything, including sharing and deletion.
  • Editor can create, edit, move and complete cards.
  • Viewer can read, comment, and follow links. No edits.

The important part: a board is visible because of its membership, not because of the workspace it happens to live in. A board shared with you appears in your sidebar and travels with you between your own workspaces.

Everything else follows from it. A card is visible if its board is; a comment is visible if its card is.

Per-item sharing

Sometimes you want one person to see one thing, without moving it into a shared space. Notes, whiteboards, checklists and imported designs can be shared individually, as viewer or editor.

A received share is not a transfer of ownership. As an editor you can edit the content; you cannot re-share it, move it into your folders, delete it, or change its privacy settings. Those stay with whoever owns it.

Connections

To share with someone who is not in any of your workspaces, send a connection request. Once accepted, you can share individual items with them and split expenses with them, without either of you joining the other's workspace.

Who can manage sharing

Only the creator of a thing, or an owner or admin of the workspace it lives in. Being given editor access to something does not make you able to hand it on.

What sharing does not do

It does not grant access to the Mind. Shared content is readable by the people you shared it with, and the assistant remains scoped per person: your assistant answers from what you can see, and theirs from what they can see.

It also does not reach the Vault. Locked Vault content cannot be shared while locked, which is the behaviour that makes the Vault meaningful.

Availability

Per-item sharing and connections are Family and Team features. Board sharing within a workspace is available wherever you have a workspace with more than one person in it. See Plans and limits.
